From conversation to proposal

Turn WhatsApp client notes into a professional proposal

A practical brief checklist for Indian freelancers: turn scattered WhatsApp notes into clear scope, INR pricing, milestones and a proposal your client can approve.

Separate agreed facts from open questions

A chat often mixes confirmed requirements with ideas, reactions and messages from different decision makers. Copy only the parts relevant to the project. Remove phone numbers, private conversations and sensitive documents that do not belong in the proposal.

Mark each point as agreed, assumed or still to confirm. ‘We may need a booking system’ is a question, not an agreed deliverable. Keep uncertainty visible instead of turning every message into a commitment.

Make one short brief before you generate

Consider a client asking for a five-page service website, mobile layouts and an enquiry form. A useful brief states those outputs, identifies who provides the copy and records the deadline as dependent on approvals.

  • Client and objective: who is buying and what decision the project supports.
  • Included scope: countable pages, assets, channels, revisions or integrations.
  • Dependencies: approved content, access and one named approver.
  • Commercial details: currency, budget signal, deposit and payment milestones.
  • Open questions: anything the conversation has not settled.

Use the template that matches the service

Choose the website, Shopify, photography or other service template rather than a generic sales letter. Paste the cleaned brief, choose the proposal tone and review the resulting scope and packages.

For an Indian client, select INR and include tax details only when they apply to your business and you have confirmed them. Do not let a draft invent GST registration, tax rates, credentials or portfolio results.

Review the offer before sharing it back on WhatsApp

Check names, quantities, dates, fees, exclusions and the next step. Use the client-view preview to confirm that the proposal is readable on a phone and that the options are meaningfully different.

Share the proposal link with one sentence explaining what you want the client to do. For example: ‘Here is the scope and three options we discussed. Please review the included work and tell me which option you prefer.’ Keep the link private to the intended client.

Common questions

Questions about this topic

Can I paste my entire WhatsApp conversation?

Use a cleaned, relevant brief instead. Remove personal details and unrelated messages, and distinguish confirmed requirements from open questions.

Will the draft decide my price for me?

You remain responsible for the price, delivery capacity and commercial terms. Review every amount before sharing.

Can I use my own logo on the free plan?

Yes. Free proposals support your branding and images; free exports retain the QuillClose watermark.
